Administrative/Technical Assistant

General Summary
Provides confidential technical, administrative, and clerical support to office staff and managers. Uses independent judgment in carrying out responsibilities and takes initiative to handle routine and semi-routine matters.
Principal Duties and Responsibilities (PDR)
1. Enters information into the ABS Consulting-developed process hazard analysis (PHA) software, HazardReview LEADER (LEADER), helping engineers collect, organize, and process data for projects; generates required reports within the software
2. Makes changes in the LEADER tables with direction from engineers/editors and reviews work to ensure all changes were made; performs quality assurance check of drawing numbers in the PHA tables against the client s P&IDs to ensure that the number and revision dates are correct
3. Identifies possible improvements to the LEADER software for management to consider in future versions; assist programmers in debugging the LEADER software
4. Assists with proposal development and word processing tasks. Ensures that the appropriate review, authorization, and signatures are obtained on proposals and documents assigned
5. Provides front desk relief when requested or scheduled (switchboard, fax, mail, etc.)
6. Independently performs non-routine clerical tasks with little or no supervision
7. May assist with records management duties, including filing, database entry, and library tasks
8. May serve in an administrative capacity on project teams, as necessary
9. Assists with set up for public training courses and/or intercompany meetings/gatherings
10. Keeps abreast of PC business applications by maintaining contact with other support staff
11. Responds to routine and semi-routine telephone and mail inquiries, including LEADER software technical support
12. May complete complex special projects requiring advanced level skills and knowledge of the company s operations
Knowledge, Skills and Abilities Required (KSAR)
1. High school diploma or equivalent
2. Substantial experience or a combination of education and experience
3. Advanced skills in office software (some of which may include spreadsheets, word processing, presentation, mail/calendar/scheduler programs). Ability to learn additional programs as required
4. Advanced skills in the use of office equipment
5. Excellent oral and written communication skills
6. Advanced level clerical skills
7. Ability to simultaneously handle multiple assignments and prioritize workload accordingly
8. Ability to interface with all levels of personnel

Working Conditions
